Rollock
Automate door access codes around reservations with the Rollock access control integration.
Rollock is Thril's partner for access control. The integration generates reservation-specific access codes for electronic lock systems and syncs them with your venue's calendar. You can also configure resource-specific settings under each resource's settings.
Prerequisites
You need Rollock hardware configured at your venue and credentials (username and password) from your Rollock contact person or via Thril support.
If your Rollock system is connected to another booking system, contact Rollock or Thril support before enabling the integration.
To enable
- Open Settings → System → Integrations → Rollock
- Enter your Username and Password
- Set the access times and fallback instructions (see below)
- Set Status to Active
- Select Save changes
- Optionally test the connection under Actions → Test connection
Configuration options
- Access before the reservation and Access after the reservation: how many minutes before the reservation starts and after it ends the access code works
- Maximum distance from the venue: customers must be within this distance for the door-opening button to work. A weak phone signal can stop a customer from opening the door, and they contact you instead. Your staff can open a door wherever they are. Set the venue's address coordinates first.
- Use one shared access code per recurring series: turn this on to give every reservation in a recurring series the same access code per door. The customer keeps one code for the whole series instead of a new code for each reservation. A series booked on courts behind different doors gets one code for each door. Codes for single reservations stay unique. If the lock still holds the code from the previous reservation in the series close to the start time, that one reservation gets a code of its own.
- Fallback instructions: a message shown to customers if Thril detects an issue with Rollock (for example, "If your access code doesn't work, you can use our backup code 9999#."). Enable Always show fallback instructions to display it to all customers regardless of Rollock's status. You can also set resource-specific fallback instructions under each resource's settings.
Syncing existing reservations
After enabling the integration, select Actions → Sync future reservations to push upcoming reservations to Rollock. This is helpful when you first connect the integration so existing bookings get access codes. The action is available once the integration is active.
Delete the integration
Select Delete integration to remove the Rollock settings from your venue. Thril also removes the Rollock settings of each resource and membership. You can set up the integration again later.
You can't delete the integration while upcoming reservations have an access code in Rollock or memberships give access through it, because Thril needs the Rollock credentials to remove those codes. Remove the integration from those memberships, and delete the integration once the reservations have ended. Set Status to Inactive in the meantime to stop new codes.
Troubleshooting
- Use Actions → Test connection to fetch your current Rollock configuration. Thril support may ask for this information when troubleshooting.
- Inactivating the integration stops new reservations from syncing to Rollock. Reservations already synced are not affected and must be cleaned up manually within Rollock.
- For help configuring your Rollock hardware or software outside of Thril, contact your Rollock contact person. For help with the integration in Thril, contact Thril support.
