Company Details and Admin Rights

In the Settings section, the Company settings area lets you configure your organization’s details and the User management area let's you manage who can access and administer your venues.

Company Details

Under Settings → Company details, you can view and edit your organization’s core information. This includes:

  • Company name
  • Company ID (e.g., Finnish business ID format)
  • Country
  • Street address
  • Postal code and city
  • Email address
  • Phone number

📝 Updates to these fields take effect immediately across the platform, but they may not retroactively change customer-facing materials like existing invoices or receipts. For assistance with those, contact support.

Once saved, these details help ensure that legal and financial documents, as well as communications, reflect the correct identity and contact info for your business.

Admin Rights

You can control access to your company and venues through Settings → User management.

Seat Roles

There are four levels of admin access, each with defined responsibilities:

  • Company Manager Full access to all venues and settings across the company.

  • Venue Admin Same access as a Company Manager, but limited to a single venue.

  • Venue Clerk Limited operational access, typically for daily tasks and customer interactions.

  • Coach For people who host services or events and need access only to their own work. Use it for coaches, event instructors, and other employees who need a limited view of the venue. Give a person this role at each venue where they work.

What a coach can do

A coach works through the employee that is linked to their user. With the role, they can:

  • Open the Employee calendar and see the calendar of every employee.
  • Create service bookings on any employee's calendar.
  • Manage the bookings on their own calendar: reschedule a booking, edit its notes, change its price, mark it paid (with credits or a session card if needed), and cancel it with a refund.
  • Edit their own employee: settings, public profile, notifications, schedules, and blockers.
  • See the events where they are an instructor, on the Events page and on their own calendar. They can open an event to see its details and participants, and mark attendance.
  • See the customers of the venues where they have the role, and add new customers. Customer details are read-only.
  • Chat with those customers.

A coach cannot open other pages, such as reservations, event series, products, or payments. Bookings and employees of other people are read-only to a coach.

Linking a coach to an employee

Open Settings → Employees and services, select the employee, and choose the user in Linked user on the Settings tab. A Venue Admin or a Company Manager can change the link. An employee can have one linked user, and a user can be linked to one employee per company.

Adding Users

To add a new user:

  1. Go to User management and click Invite users.
  2. Choose the venue, enter the user’s email, and assign their seat.
  3. Click Send invite.

⚠️ Note! If the user does not have a business account, one will be created as part of the invite process. It is separate from any consumer account and does not require one. The invite also generates a password for the user. Make sure to note it down and pass it on securely, for example by phone or in person. Do not send the password via email or messaging.

Admins can only see and manage what their seat level allows, making it safe to delegate tasks while maintaining control of sensitive data.

By keeping your company details up to date and assigning roles responsibly, you ensure smooth operations, secure access, and proper platform use across your organization.
