Gift cards
Sell gift cards online and at the POS, grant them to customers, and follow what is still owed on them.
A gift card is a balance with a code. Whoever has the code can spend it, in part or in full, at checkout in the Thril app, on the web or at the POS. The card keeps its balance until it runs out or expires, and nothing is moved into anyone's account.
You manage gift cards under Products → Gift cards. The Cards tab lists every card, and the Products tab holds the gift card products you sell.
Gift card products
A gift card product decides what a card is worth, what it costs, where it is valid and when it expires. Create one with New product.
- Fixed value. You set the Price (VAT 0%) and the Value on the card. Set the value above the price to sell the card with a bonus, for example 110 € on the card for 100 €.
- Customer picks the value. The customer chooses how much to load, and pays that amount.
- Expiry. A number of days after the card is issued, a fixed date, or never. Changing it later does not change cards already issued.
- Valid at every venue of the company. Leave it off and the card can only be spent at the venue that sold it.
- Photos. The first photo is printed on the gift card.
Each card copies its name, picture, venues and expiry from the product when it is issued. Deleting a product takes it out of the shop and the POS, and cards already issued stay valid.
The Sales section limits how many cards can be sold, sets when they are on sale, and adds a regular price. See Sale limit, sale window and regular price.
Where customers buy and use them
Customers buy gift cards from the Gift cards category of your shop, signed in or without an account. The card arrives by email as a PDF right after payment, with the code and a QR code that you can scan at the POS.
To pay with a card, the customer types the code into the Gift card or promo code field at checkout. One gift card and one promo code can go on the same payment. The checkout shows what the card pays and what is left on it, and the rest of the price is paid as usual.
A gift card pays for reservations, memberships, session cards, courses, events, leagues, service bookings and shop products. It cannot pay for gift cards or credits.
Redeem code in the app and on the web tells customers to enter the code at checkout. A code shows nothing about a card that can't pay: a spent, expired or voided card answers like a code that does not exist, so codes can't be guessed.
Selling and spending at the POS
At the POS, a gift card product is sold like any other product. To take a card as payment, choose Pay with a gift card, then type or scan the code. The card pays as much of the sale as its balance covers, and the rest is paid another way.
Refunding a sale that a gift card paid for returns the money to the card. Refunding a gift card that was sold voids it, so refund the whole gift card line.
Granting a gift card
Use Grant gift card to issue a card without a sale in Thril. Pick the Gift card product, the Value, and how it was paid:
- Free. A card you give away, for example as compensation or a prize. When it is spent, it counts as a discount.
- Paid outside Thril. The customer paid you in cash or by card at your own terminal. Pick the Payment method. The card is booked as a sale.
Choosing a Customer is optional. The card then shows in the customer's Thril account, and anyone with the code can still spend it.
Following the cards
The Cards tab shows the Open balance on active cards, split into the paid share and the bonus or free share, how many cards are active, and how much expires within 30 days. Find a card by typing or scanning its code, or filter the list by product, status and channel.
Open a card to see its balance, who bought it, how it was issued, and every purchase and refund that touched it. From there you can download its PDF or Void it. A voided card can't be spent, and its balance is lost. A card that still has paid value left can't be voided by hand: refund its purchase instead.
Codes that customers redeemed into credits before gift cards had their own balance show as Redeemed as credits.
Accounting
A gift card is sold without VAT. The money is owed to the card holder until it is spent, so a card sale is booked to a liability account, not to sales. When the card is spent, the purchase is booked as a sale with VAT on that day and taken off the liability. The bonus value on a card is a discount and books nothing.
If you use Netvisor, set two accounts in the Netvisor bookkeeping settings:
| Account | What it holds |
|---|---|
| Gift card balances | The liability for what holders can still spend. Required once a paid card is sold. |
| Expired gift cards | Other operating income for paid value left on a card that expires or is voided. No VAT. |
See Netvisor for the rest of the bookkeeping settings.
